1. Who are we? Bergstra Media B.V. i.o. is a media company specialising in video production, photography, events, marketing, communications, and virtual tours. We are the data controller for the personal data processed through our website.

2. What personal data do we process? Through the contact form on our website, we collect the following personal data:

  • First and last name

  • Company name

  • Email address

  • Phone number

We only collect data that you actively provide to us yourself.

3. For what purposes do we process your data? We process your personal data for the following purposes:

  • Responding to your quote or contact request;

  • Drawing up and executing an agreement with you;

  • Maintaining a business relationship;

  • Complying with legal obligations.

4. Legal basis for processing We base the processing of your personal data on the following grounds:

  • Performance of a (pre-)contractual agreement (Article 6(1)(b) GDPR): when you submit a quote request;

  • Legitimate interest (Article 6(1)(f) GDPR): for managing and maintaining business contacts and relationships.

5. Retention period We do not retain your personal data for longer than necessary for the purposes for which it was collected. In practice, we apply the following retention periods:

  • Business contacts and (potential) clients: for as long as an active business relationship exists or a legitimate interest is present. If no contact or business activity has taken place for a continuous period of 5 years, we will actively delete your data.

  • Financial and fiscal data: retained in accordance with the statutory retention obligation of 7 years.

You may request deletion of your data at any time (see Article 8).

6. Sharing data with third parties We do not sell your personal data to third parties. We only share your data where necessary for the delivery of our services or where we are legally required to do so.

We use the following processor:

  • Google LLC (Google Analytics): for analysing website usage. A data processing agreement has been concluded with Google in accordance with the requirements of the GDPR.

7. Transfer outside the European Economic Area Google Analytics may process data outside the European Economic Area (EEA). Google provides appropriate safeguards for this through Standard Contractual Clauses (SCCs) as approved by the European Commission.

8. Your rights as a data subject Under the General Data Protection Regulation (GDPR), you have the following rights:

  • Right of access: you may request to know which data we process about you;

  • Right to rectification: you may have incorrect data corrected;

  • Right to erasure: you may request that your data be deleted;

  • Right to restriction of processing;

  • Right to data portability;

  • Right to object to processing based on legitimate interest.

You can submit your request via info@bergstramedia.nl. We will respond to your request within 30 days.

You also have the right to lodge a complaint with the supervisory authority: the Dutch Data Protection Authority (Autoriteit Persoonsgegevens, www.autoriteitpersoonsgegevens.nl).

9. Security We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, or misuse. This includes encrypted connections (HTTPS) and restricted access to personal data.

11. Changes Bergstra Media reserves the right to amend this privacy statement. The most current version is always available at www.bergstramedia.nl. We recommend consulting this page periodically.
